Configure your workspace, members, teams, and organizational structure.

This guide covers all organization configuration in Mistvine, from workspace settings to team structure.

Workspace Settings

Location: Settings → Workspace (owner-only)

Workspace Details

Workspace Name: Your organization's display name throughout Mistvine. Changes auto-save.

Workspace URL: Your subdomain (e.g., acme.mistvine.com).

  • Must be unique across all Mistvine workspaces
  • Can only be changed by owners
  • Changes take effect immediately

Regional Settings

Timezone: Affects all date and time displays. Options:

  • Eastern Time (ET)
  • Central Time (CT)
  • Mountain Time (MT)
  • Pacific Time (PT)
  • Greenwich Mean Time (GMT)
  • Central European Time (CET)

Week Start Day: When your organization's week begins. Options:

  • Saturday
  • Sunday
  • Monday

This affects weekly status submissions and date range calculations.

Fiscal Year Start: When your fiscal year begins. Options:

  • January
  • April
  • July
  • October

Used for fiscal period reporting and analytics.

Billing

Owners can manage subscription and billing:

  • View Plan Status: Active, Trial, or Canceled
  • Billing Cycle: Monthly or Annual
  • Active User Count: Current billable members
  • Manage Billing: Opens Stripe customer portal
  • View Invoices: Access billing history

Danger Zone

Delete Workspace: Permanently removes the organization and all data. This action cannot be undone. Only owners can delete a workspace.


Members

Location: Settings → Members

Manage who has access to your organization.

Inviting Members

  1. Click Invite Member
  2. Enter email address
  3. Select role:
    • Admin: Can manage settings and other members
    • Member: Standard access to features
  4. Send invitation

Invitations expire after 7 days. You can resend or cancel pending invitations.

Member Roles

Role Capabilities
Owner Full control including billing, workspace deletion, ownership transfer
Admin Manage members, teams, practices, and settings
Member Use Mistvine features, no admin access

Ownership

  • Organizations must have at least one owner
  • Owners can add or remove other owners
  • Only owners can transfer ownership or delete the workspace

Managing Members

Change Role: Click the role dropdown to switch between Admin and Member.

Deactivate Access: Toggle the status to deactivate a member. They lose access but their data is preserved.

Reactivate: Toggle status back to active to restore access.

Remove Member: Permanently removes the member from the organization.

Pending Invitations

View all outstanding invitations with:

  • Email address
  • Assigned role
  • Invitation date
  • Expiration date

Actions:

  • Copy Link: Share the invitation link directly
  • Resend: Send a new invitation email (resets expiry)
  • Cancel: Delete the pending invitation

Teams

Location: Settings → Teams

Organize members into teams for collaboration and objective tracking.

Creating a Team

  1. Click Create Team
  2. Enter team name (required, must be unique)
  3. Add description (optional)
  4. Assign initial members and leads
  5. Save

Team Roles

Role Responsibilities
Team Lead Create objectives, submit weekly status, manage team boosts
Team Member Contribute to objectives, submit sentiment, complete assessments

Teams can have multiple leads.

Managing Team Composition

Add Members: Click "Add Member" on the team row to assign members.

Add Leads: Click "Add Lead" or promote existing members to lead.

Remove Members: Use the member management drawer to remove assignments.

Change Role: Promote members to lead or demote leads to member.

Team Operations

Edit Name/Description: Click on the field to edit inline. Changes auto-save.

Delete Team: Remove from actions menu. Soft deletes the team (preserves history).

Sorting and Filtering

  • Sort by name (A-Z or Z-A) or team size
  • Search by team name, description, or member names
  • Filter by practice membership

Practices

Location: Settings → Practices

Practices represent functional areas like Engineering, Design, or Sales.

Creating a Practice

  1. Click Create Practice
  2. Enter practice name
  3. Add description (optional)
  4. Choose an icon (17 options available)
  5. Select a color
  6. Assign initial members and leads
  7. Save

Practice Roles

Role Responsibilities
Practice Lead Manage practice members, review assessments, approve level changes
Practice Member Belong to the practice, receive practice-level feedback

Practice Features

Icons: Choose from 17 icons to visually identify each practice.

Colors: Assign a color for easy recognition in dashboards and reports.

Multiple Leads: Practices can have multiple leads for shared responsibility.

Managing Practice Members

Similar to teams:

  • Add or remove members
  • Promote to lead or demote to member
  • Transfer members between practices

People Managers

Location: Settings → People Managers

Define manager-report relationships for feedback, 1:1s, and performance management.

Multi-Manager Support

Mistvine supports matrix organizations:

  • One person can have multiple managers
  • Managers can have multiple direct reports
  • No limit on hierarchy depth

Assigning Managers

  1. Find the person in the member list
  2. Click Assign Manager
  3. Select the manager from the dropdown
  4. Save

Viewing Hierarchy

All View: See all members with their manager assignments.

Managers Tab: See managers grouped with their direct reports.

Org Chart: Visual tree view of the reporting structure.

Hierarchy Table: Spreadsheet view with levels (L0, L1, L2, etc.).

Exporting

CSV Export: Download the organizational hierarchy as a spreadsheet.

Org Chart Export: Export the visual hierarchy as an image.

Removing Assignments

  1. Find the assignment in the hierarchy view
  2. Click remove
  3. Confirm

Removed assignments are soft-deleted to preserve audit history.


Features

Location: Settings → Features

Configure organization-wide feature settings.

Wave Configuration

Wave Length: Default duration for new waves.

  • Range: 1-52 weeks
  • Quick picks: 1, 4, 8, 12, 16, 20 weeks
  • Affects new waves only (existing waves unchanged)

Organization Objectives Limit: Maximum wave-level objectives per wave.

  • Range: 1-5
  • Prevents objective overload

Team Objectives Limit: Maximum objectives per team per wave.

  • Range: 1-5
  • Helps teams stay focused

Approval Required: Toggle whether objectives need approval before a wave starts.

Feedback Privacy

Principle Feedback Visibility: Who can see feedback author names.

Reminder Settings

Feedback Reminder Frequency: Days between feedback reminder notifications.

Wave End Reminder: Days before wave end to send reminders.

Midpoint Notification: Toggle wave midpoint reminders.

End Notification: Toggle wave end reminders.


Principles

Location: Settings → Principles

Define and manage feedback principles used across the organization. Principles are the criteria members evaluate each other against during feedback cycles.

Organization-Wide Principles

Admins can manage global principles that apply across all teams:

  1. Navigate to Settings → Principles
  2. Click Add Principle
  3. Enter the principle name and description
  4. Save

Principle Management

Edit Principles: Update principle text or descriptions as your organization evolves.

Archive Principle: Soft delete to stop using a principle while preserving historical data.

Reorder Principles: Drag to reorder how principles appear in feedback forms.

Best Practices

  • Keep principles clear and actionable
  • Limit total principles to avoid survey fatigue
  • Review and update principles periodically

Common Tasks

Setting Up a New Organization

  1. Configure workspace: Set name, timezone, fiscal year
  2. Invite members: Start with admins, then broader team
  3. Create practices: Define functional areas
  4. Create teams: Organize into working groups
  5. Assign managers: Set up reporting relationships
  6. Configure features: Set wave length and limits
  7. Set up principles: Define feedback principles at Settings → Principles

Onboarding New Members

  1. Send invitation from Settings → Members
  2. Assign to appropriate team(s)
  3. Assign to practice
  4. Set up manager relationship
  5. Member receives email and sets up account

Reorganizing Teams

  1. Update team assignments in Settings → Teams
  2. Update manager relationships in Settings → People Managers
  3. Review practice assignments if needed
  4. Historical data remains intact

Changing Member Roles

  1. Navigate to Settings → Members
  2. Find the member
  3. Change role from dropdown
  4. Changes take effect immediately

Troubleshooting

Member Can't Access Settings

  • Verify they have Admin role
  • Check they're accessing the correct workspace URL
  • Ensure their account is active

Can't Delete a Member

  • Check if member is under legal hold
  • Verify you have Admin or Owner role
  • Cannot delete yourself

Team Name Already Exists

  • Team names must be unique within the organization
  • Choose a different name or rename the existing team

Invitation Not Received

  • Check spam/junk folders
  • Verify email address is correct
  • Resend invitation from pending list
  • Contact support if issues persist
